The Scarborough Campus Students’ Union (SCSU) is the not-for-profit organization that represents all full-time and part-time undergraduate students at the University of Toronto Scarborough and provides to its members a broad range of advocacy, services and events.
POSITION SUMMARY
The Minute Taker is responsible for accurately recording and preparing the official minutes of all Board of Directors meetings and Members’ Meetings. This individual plays a key role in supporting organizational transparency, good governance, and record-keeping.
RESPONSIBILITIES
Mandatory attendance and take detailed, impartial minutes at all scheduled Board of Directors Meetings, Emergency Board of Directors Meetings, Joint Board Meeting, Annual Members’ Meeting (typically in November) and Winter Members’ Meeting (typically in March) of the SCSU
Voice recording of all proceedings at the meetings listed
Transcription of voice recording into detailed minutes of meetings
Providing SCSU a written copy of meeting minutes in a timely manner
Capture key discussions, decisions, and actions during meetings in a clear, concise, and organized manner.
Prepare and submit draft meeting minutes to the Executive Director or designated officer for review within an agreed timeline (typically within 5 business days).
Maintain confidentiality and neutrality in all documentation.
Estimated time commitment includes the length of the meeting plus additional time for editing and finalizing minutes.
REQUIRED SKILLS AND EXPERIENCE
Strong key-boarding skills and highly proficient with Microsoft Office Word/Google Docs.
Strong written communication and note-taking skills.
Ability to summarize discussions accurately and objectively.
Excellent attention to detail and organizational abilities.
Familiarity with meeting procedures and non-profit governance is an asset (training can be provided).
Must be reliable and punctual.
