The Sponsorship Coordinator plays a crucial role in supporting the SCSU’s events, campaigns, and services by developing, maintaining, and expanding sponsorship and partnership opportunities. The Coordinator represents the SCSU within UTSC, the broader Scarborough community, and with external stakeholders. The Coordinator is responsible for securing sponsorships, fostering long-term partnerships, and supporting revenue-generating initiatives across all SCSU events and projects.
RESPONSIBILITIES
The Sponsorship Coordinator’s responsibilities include, but are not limited to:
Complete a minimum of eight (8) office hours per week.
Attend mandatory weekly meetings with the Executive Director and SCSU team.
Take minutes at designated meetings.
Support outreach for SCSU events, campaigns, services, and advocacy work.
Assist with planning, promotion, and execution of SCSU services, campaigns, and operational initiatives to sponsors.
Sponsorship & Partnership Responsibilities:
Develop, update, and maintain a comprehensive annual SCSU Sponsorship Package tailored to major events, year-round projects, and digital engagement platforms.
Secure sponsorships, donations, and in-kind contributions for all SCSU events, including but not limited to:
Pride & Indigenous Month Programming
Orientation & Frosh programming
Week of Welcome/Frost Week Festivities
SCSU’s Annual Boat Cruise
Coffeehouse/Free Breakfast Program
Halloween Events
Academic, advocacy, and equity-based campaigns
SCSU’s Annual Holiday Market
Black History Month Programming
Wellness Week, Student Appreciation events, and major conferences
Multicultural Week
Undergraduate Research Symposium
SCSU’s Annual Spring Formal
SCSU large-scale and small-scale events throughout the academic year
SCSU’s Exam Destressors
Conduct proactive outreach to potential sponsors in the greater Toronto and Scarborough community.
Maintain and strengthen long-term sponsor relationships and ensure sponsor satisfaction.
Event & Project Support:
Coordinate sponsorship logistics for events, including branding placement, booth activations, sponsor deliverables, and on-site engagement.
Work closely with event leads, executives, and staff to ensure sponsors’ needs are met and integrated into event planning.
Track sponsorship deliverables, timelines, and analytics to ensure commitments are fulfilled.
Marketing & Digital Responsibilities:
Collaborate with the Communications & Graphics SCSU Team to integrate sponsor branding into digital content (social media, newsletters, livestreams, websites).
Support the development of sponsorship-related promotional materials.
Assist with digital organization of sponsorship contacts with the Executive Director.
Administrative Responsibilities:
Maintain accurate sponsorship documentation, contracts, and tracking spreadsheets.
Prepare sponsorship reports, post-event summaries, and year-end analytics.
Support financial and administrative reconciliation related to sponsorship contributions.
Other duties as assigned by the Executive Director or Vice-President Operations.
REQUIRED SKILLS/EXPERIENCE
Commitment to the mission and values of the SCSU.
Professionalism, maturity, and strong communication skills.
Familiarity with SCSU advocacy, services, and student engagement initiatives.
Highly motivated, creative, and proactive in outreach and problem-solving.
Able to work both independently and collaboratively.
Organized, detail-oriented, and able to manage multiple deadlines.
Experience in event coordination, sponsorship outreach, or community engagement is an asset.
Experience with digital marketing, or graphic design is an asset.
